If you are an out-of-town Speaker, you will appreciate the full service we provide for your on-site video shoot. It is challenging enough to juggle your transportation and prepare your materials. Should you also have to worry about the details of the venue where you will speak? We take on the burden of interfacing with the meeting planner and the venue sales manager to determine how the venue will impact the shoot. A couple of general things to consider:
- Lighting – What types of lights and how are they controlled? Are they adequate for the recording or is external lighting required?
- A/V – Is there a house PA system? Will there be a techican present during the event? When is sound check? Is there a projector and computer audio cable? Does the projector take MAC/PC?
- Room layout- Where is the stage with respect to the entrance, lights, projector screen, sound panel, etc? How does the sound travel from the adjacent room?
One item that our clients are always thankful to learn is the color of the backdrop or wall they are standing in front of. Can you imagine watching a video with just a floating head, tie, and hands? Great effect, but it can be a bit distracting. We do carry our own inventory of sound systems including wireless handhelds and lavelier mics, projectors, lighting, and backdrops if you require them for your speaking event.
After getting the venue contact information from you, we would go on location and do a little recon. We would interrogate the venue staff to extract the info we need, take pictures and draft up a summary report which may include a floor plan map if that is relevant. Armed with this information, you can arrive to the event with confidence that all the details are considered.
